Who we are

Reconfigure Systems Ltd ("we", "us"), company number 17415322, registered office Suite A, 82 James Carter Road, Mildenhall, Suffolk, IP28 7DE, trading as Reconfigure Hosting. We are the data controller for the personal data described in this policy.

What we collect

  • Account details: email address, username, and (if you choose to set one) a password.
  • Billing details: your name and email as provided to our payment processor, Stripe. We don't see or store your full card details - Stripe handles payment collection directly.
  • Service usage: your server's configuration (name, resource allocation, IP allocation), and technical logs needed to operate and troubleshoot the service.
  • Support communications: anything you send us via email or the support channels, kept for as long as needed to resolve and reasonably follow up on the matter.
  • Technical data: IP address and basic request logs, collected automatically as part of running the service and keeping it secure.

Why we process it

We don't send marketing emails without separate, explicit consent, and we don't sell your personal data to anyone.

  • To provide the hosting service you've signed up for - provisioning, running, and supporting your server.
  • To process payment and manage your subscription (billing, renewals, refunds).
  • To send service-related emails - order confirmations, suspension or payment-failure notices, and other operational messages. These aren't marketing and can't be opted out of while your subscription is active, since they're necessary to run the service.
  • To respond to support requests.
  • To keep the service secure and prevent abuse.
4

Legal basis

  • Performance of a contract - most processing, since it's necessary to provide the service you've purchased.
  • Legitimate interests - fraud prevention, abuse detection, and keeping the service and our systems secure.
  • Legal obligation - retaining financial records for the period required by UK tax law.
5

Who we share it with

We use a small number of third-party processors to run the service, each only receiving the data it needs to do its specific job:

  • Stripe - payment processing and subscription billing.
  • Resend - sending transactional emails (order confirmations, suspension notices).

We don't use any other third-party processors for personal data at this time. Our hosting infrastructure (the panel and game servers themselves) is self-operated, not outsourced to a third party.

6

International transfers

Stripe and Resend may process data outside the UK as part of their own infrastructure. Both are established providers with their own data protection commitments and appropriate safeguards for international transfers.

7

How long we keep it

  • Account and service data: for as long as your account is active, plus a limited period after termination.
  • Financial records: 6 years, in line with UK tax record-keeping requirements.
  • Support communications: kept for a reasonable period to handle follow-up queries, then deleted.
8

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Ask us to delete your data (subject to our legal obligations, e.g. financial records).
  • Restrict or object to certain processing.
  • Receive your data in a portable format.
  • Complain to the ICO (ico.org.uk) if you're unhappy with how we've handled your data.

To exercise any of these, contact [email protected].

9

Cookies

This website does not currently use tracking or analytics cookies. If that changes, this policy will be updated first and, where required, your consent will be asked for.

10

Children

The service is not intended for children under 13. Account holders and payers must be 18 or have parental/guardian consent. We don't knowingly collect personal data from children without that consent.

11

Security

We use reasonable technical and organisational measures to protect your data, including encrypted credential storage, access controls on our databases, and HTTPS for all traffic to the website and panel.

12

Changes to this policy

We may update this policy from time to time. Material changes will be communicated clearly on this page.
